What makes a conference or retreat harder to translate than a Sunday service?
A Sunday service has one speaker, one room and about an hour. A conference or retreat changes all three. There are several speakers with different accents, sessions that run most of the day for two or three days, and sometimes workshops in separate rooms at the same time.
It also changes who is in the room. Guests may come from other churches and other countries, and nobody has met the interpreter before. A language plan that worked for a regular congregation can leave a visiting group out. Planning ahead for sessions, rooms and hours is what separates a smooth weekend from a stressful one.

How do you set up captions for the main hall and the breakout rooms?
Start with the main hall, because every guest sees it. Open Sermon Translate on a computer, choose the language the speaker uses, choose the languages your guests read, and give the computer a clean audio feed from the sound desk. A microphone close to the speaker works if there is no feed.
- Put the captions on the hall screen with the Subtitles screen, which can show up to 5 caption languages together. It is included in Standard and All Languages, and is a $10 a month add-on on Basic.
- Show a QR code on the screen and in the program, so guests can read in their language on their own phone. See QR Code Join.
- For a livestream, copy the OBS URL from the Subtitles screen and add it as a transparent Browser Source.
- For breakout rooms, give each room its own device and microphone. Count the rooms that run at the same time against your plan's active device limit.
- Stop the recording between sessions. Plan time is used while you record, so a break with the recording running is a break you pay for.
Speakers change often at a conference, so ask each one to stand close to the microphone and speak at a normal pace. Clear audio matters more than any setting.
How many plan hours does a conference use?
Plan time is counted in hours of recording, and each language beyond what your plan includes adds another hour for every hour recorded. Free and Basic include 1 language, Standard includes 2 and All Languages includes every language. If your hours run out in the middle of a live session, the session keeps going for up to 90 more minutes on a paid plan, so a speaker is not cut off mid sentence. A new session cannot start until hours are added or the month resets.
How do attendees follow along on their own phones?
Guests scan the QR code with the phone camera, and the live captions open in the browser. There is no account and no app, and each person chooses their own reading language. QR Code Join is included in every plan, and scanning does not use extra hours by itself, though each language in use counts toward plan time as described above.
This matters at retreats, where people arrive from different places and speak different languages. You do not need to know in advance which languages will show up. A guest who reads Vietnamese and a guest who reads Spanish can sit at the same table, each reading the same speaker in their own language. How should you prepare speakers and vocabulary before the event?
Names and unusual terms are where captions go wrong. Before the event, gather the names of every speaker, the ministry and organization names, place names and any special terms, and add them to the church glossary, which is part of the Standard plan.
- Ask speakers to send their scripture references ahead of time, and to say the book, chapter and verse clearly when they read.
- On the All Languages plan, you can upload a speaker's manuscript before recording so it is applied as context to the live translation.
- Do a ten minute test in the hall with the real microphone and the real screen the day before.
- Place the screen where guests can read it from the back of the room.
Sermon Translate also shows a Bible verse popup when a speaker clearly names a passage or clearly quotes a known verse. It is conservative on purpose, so a vague allusion does not trigger one.
What are the honest limits?
- It needs an internet connection on the captioning device and does not work offline. Check the signal at a retreat center or a campsite before you rely on it.
- Captions are text. There is no spoken audio of the translation in the room. The Listen mode can read the translation aloud, but each spoken sentence uses extra plan time, about two hours per hour of nonstop speaking.
- Accuracy depends on audio quality and how clearly each speaker talks. Names and rare terms can be wrong even with a glossary.
- Church vocabulary is strongest in 7 languages: English, Traditional Chinese, Korean, Spanish, Brazilian Portuguese, Vietnamese and Farsi. Other languages get general translation with a church context.
- Sung lyrics caption poorly, so show worship lyrics on slides.
